This article gives you a guided tour of the email inbox in Orivio. Use this inbox to manage customer emails, organize conversations, and work with your team. If you’re new to Orivio or want to get more out of your inbox, this guide is for you.
Opening the Email Inbox
To access your email inbox:
Click Emails in the main navigation on the left side of your dashboard.
The inbox will open, showing your messages and all available tools.
Exploring the Left Sidebar
The left sidebar helps you organize and find emails quickly. Here’s what you’ll see:
Compose: Click this button at the top to start a new email.
Folders: See your provider’s folders (Inbox, Starred, Important, Sent, Drafts, Spam, Trash, Social, Promotions, Updates, Forums). Each folder shows a live count of emails.
Priority: Orivio’s AI, Ori, reads each incoming email and assigns a priority (Urgent, High, Medium, Low). Click a priority to filter the list.
Status: Filter conversations by Open or Closed.
Labels: View your custom labels, each with a color dot and count. Click Manage to open label settings.
Tip: Use the Priority and Status filters together to quickly find urgent, open conversations.
Navigating and Viewing Emails
Once you’re in the inbox, you have several ways to view and manage your emails:
All/Unread Toggle: At the top of the list, switch between viewing all emails or only unread ones.
Search Box: Use the search box labeled Search subject, people, tags, body… to find emails by subject, sender, tags, or any text in the message.
List Layouts: Choose how your emails are displayed. In the reader header, switch between:
Vertical
Compact rows
Card grid Your choice is remembered for next time.
Date Grouping: Emails are grouped by date with collapsible headers. Scroll down to load older emails.
New Mail Banner: If new emails arrive while you’re reading, a banner appears at the top: "{n} new email(s) — click to load". Click it to refresh your list.
Working with Your Team
Orivio shows live presence indicators so you know when teammates are active on the same conversation:
If someone is viewing the thread, you’ll see a small viewing indicator.
If someone is replying, you’ll see a writing indicator.
Tip: Presence indicators help avoid duplicate replies and keep your team in sync.
FAQ and Troubleshooting
Q: Why don’t I see my custom labels?
A: Make sure you’ve created labels in your email provider. Click Labels & Categories under settings to create and manage labels.
Q: Can I change the order of folders or labels?
A: The order matches your provider’s setup. Use the sidebar to quickly access any folder or label.
Q: How do I know if someone else is replying to a customer?
A: Look for the writing indicator on the conversation thread.
