Orivio helps you organize your inbox by automatically tagging every incoming email with clear, useful labels. This makes it easy to see what needs attention and what each conversation is about. Use labels to filter, find, and manage your support emails faster.
How Automatic Tagging Works
Every new email gets up to two labels:
- Action label — tells you what to do next. Examples: Action Required, Awaiting Response, Follow-Up, FYI, Resolved.
- Topic label — shows what the email is about. Examples: Finance, Legal, HR, Meeting, Personal, Work, or one of your custom labels.
Tip: Meeting-related emails always get the Meeting label, no matter what.
Orivio’s AI assistant, Ori, chooses the best action and topic labels for each email. This helps you spot urgent or important messages right away.
Special Handling for Newsletters and Automated Mail
Orivio detects newsletters and automated emails (like those from newsletter@, noreply@, or with unsubscribe links). These get special system labels:
- Newsletter
- Auto-Reply
- Promotional
You cannot edit or remove these system labels.
Managing Your Labels
You can view and manage labels in Settings → Workspace → Labels & Categories. There are three sections:
- System — Reserved labels managed by Orivio (like Newsletter, Auto-Reply). You cannot change these.
- Default — Orivio’s starter labels (Urgent, Follow-Up, FYI, Meeting, Action Required, Resolved, Awaiting Response). You can rename and recolor these to fit your workflow.
- Custom — Your own labels. You can create up to 5 custom labels, each up to 30 characters long.
Note: Label colors come from a fixed palette of 27 colors (the same as Gmail). If you try to use a color outside this palette, it will be rejected.
Syncing with Gmail and Outlook
Orivio labels sync both ways:
- In Gmail, Orivio labels appear as Gmail labels, with the same colors.
- In Outlook, they show up as categories, also with matching colors.
Any changes you make in Orivio will show up in your email client, and vice versa.
Manually Tagging Conversations
You can add or remove labels on any conversation:
- Right-click the conversation in your inbox.
- Select Add/Remove Tags.
- Choose the labels you want to add or remove.
This is helpful if you want to adjust labels after the AI has tagged an email, or if you want to add more context.
Filtering by Label
To see only emails with a certain label:
- Click the label name in the sidebar. Your inbox will filter to show only conversations with that label.
This makes it easy to focus on specific topics or actions.
FAQ
Q: Why can’t I edit or delete some labels?
A: System labels (like Newsletter or Auto-Reply) are managed by Orivio and can’t be changed.
Q: What happens if I reach the 5 custom label limit?
A: You’ll need to delete an existing custom label before adding a new one.
Q: Why was my label color rejected?
A: Only the 27 colors in the Gmail palette are allowed. Pick a color from the palette to save your changes.
